How to write a price increase letter
Give real notice
30 to 60 days is typical for subscriptions and regular clients. Check your contract, since some require a set notice period. Notice gives people time to budget, and it makes the increase feel fair.
Lead with the change, not the apology
The first sentence says the old price, the new price and the date. Opening with “we're so sorry” or “unfortunately” makes people brace for something worse than a few dollars.
One honest reason
Costs went up, the product got better, or you haven't raised prices in three years. Pick the true one and say it plainly. Don't stack five reasons, and don't invent one.
Say what they get and what stays the same
New features, the same therapists, the current project at the old rate. Tell customers what they keep, not just what they pay.
Offer an option if you have one
Lock in the current price with an annual plan, honor orders placed before a date, or keep existing projects at the old rate. Give the deadline. If there's no option, say that nothing needs doing.
Make it easy to ask questions
End with a real person, an email to reply to or a phone number. Customers who can ask are far less likely to leave than those left guessing.

Rules:
- Use only the facts given. Never invent a reason, a discount, a grandfathering offer, a date, or a benefit. Use {placeholders} for anything missing, e.g. {effective date}, {name}.
- Subject line: what's changing and when, in plain words, e.g. "Your Team plan price is changing on March 1" or "My day rate from 1 July". Never "Important update".
- Open with "Hi {first name}," (or "Hi {name}," if unknown).
- First sentence: the change, with the old price, the new price and the effective date. No apology or pleasantries before it.
- Then one honest reason in one or two sentences, only if one is given. Turn a bare reason into a plain sentence, but don't add new ones.
- Then what stays the same or what they get, only if given.
- Then any options given (switch to annual, lock in the current rate, grandfathering, change plan), with the deadline to act. If there are no options, say in one sentence that they don't need to do anything.
- Close with an easy way to ask questions or talk it through, one sincere thank-you in the same sentence or the next (e.g. "Thanks for working with us."), and a short sign-off with {Your name}.
- Plain, confident and warm. No "unfortunately", "we regret", "valued client", or hype. No em dashes. 3–5 short paragraphs separated by blank lines; keep the change and its reason together. Under 160 words.
Return "Subject: …" on the first line, a blank line, then the email. No other text.Add your usual sign-off, phone number and notice period to the snippet once, and every price increase email comes out ready to send.
