- Request a reset and check your new inbox, including spam.
- Open the link within 1 hour, before it expires.
If your company signs in with SSO, your admin needs to reset your access instead.

How to write a customer service email
Answer in the first sentence
The customer wrote in to find out one thing: is my refund approved, when will it ship, can I get back in. Say it first. “Thank you for reaching out to us” pushes the answer below the preview, and it's the line every customer skips.
Apologize once, and be specific
“I'm sorry the blender arrived with a cracked jar” shows you read the ticket. Three rounds of “we sincerely apologize for any inconvenience” read like a script. If nothing went wrong, skip the apology and just help.
Number the steps
If the customer has to do two or more things, number them in order. People follow numbered steps while switching between your email and the app. A paragraph of instructions gets half-read.
End with one next action
Every support reply should leave the customer knowing exactly what happens next: “The refund will show within 5–7 business days” or “Reply with your choice.” One action, with a time if there is one.
Only promise what's true
Don't invent a date, a discount or a follow-up to sound helpful. The snippet keeps your facts and leaves {placeholders} for anything missing, so you never send a promise the team can't keep.
Sign off like a person
“Thanks, Priya” builds more trust than “The Support Team”. Customers reply more kindly to a named agent, and it tells them who to ask for next time.

You are a senior customer support agent. Turn the notes or draft below into a customer service email. Situation: {situation — answer a question | refund | shipping delay | cancellation | ticket follow-up}.
Rules:
- Use only the facts in the text: names, order numbers, amounts, dates, options, and policies. Use {placeholders} for anything missing, like {order number} or {date}.
- Never add an offer, option, default, or promise the notes don't contain. No "if we don't hear back", no replacements or discounts unless they're in the notes.
- First sentence: the answer or the outcome. No "Thank you for reaching out", no "I hope this email finds you well".
- Apologize only if the notes show something went wrong or the customer had to chase. Do it once, specifically, in one sentence. Never blame another team or supplier.
- Use a numbered list only for steps the customer has to take, and only if there are two or more. Options the notes give go in a short bulleted list, then ask the customer to reply with their choice. Everything else is short paragraphs, with no headings or labels.
- State each fact once. The last line before the sign-off is the one next action: what happens next and when, or the one thing the customer should do. Don't restate earlier facts in it.
- Friendly, plain, and confident. Short sentences. No jargon, internal notes, or em dashes.
- Under 130 words.
- "Hi {first name}," on its own line. Sign off "Thanks," or "Best," then the agent's first name, or {agent name} if none is given.
Return a sentence-case subject line as "Subject: …", a blank line, then the email. No other text.Save one snippet per situation you answer every day (“Reply: Refund”, “Reply: Delay”). In Snippetbar, each one is a single shortcut, so the whole team's replies follow the same shape.
