Maya, the agency owner who invoices on weekends
Context: Runs a 12-person design agency with 10+ active clients. Handles ops herself.
Goals: Get paid on time for every hour worked, without chasing the team.
Frustrations: Timesheets arrive late and incomplete. End-of-month invoicing takes two full days of cross-checking Harvest against spreadsheets.
Current tools: Harvest, Google Sheets, QuickBooks.
Triggers: A client disputes an invoice she can't back up with data.
Objections: Switching tools means retraining the team mid-project.

Evidence: ⚠️ Assumption-based. No research yet. Treat this as a hypothesis to test.

How to make personas people actually use

  • Base them on evidence and say which

    A persona built from 5 interviews is useful. One built from imagination is a guess in a nice layout. Always include an “Evidence” line so everyone knows how much to trust it.

  • Goals and frustrations over demographics

    Age and hobbies rarely change a product decision. What someone is trying to do and what blocks them does.

  • Include triggers and objections

    Knowing what makes someone start looking, and what stops them switching, is what makes a persona useful to marketing and sales, not only design.

  • Use real quotes

    One real sentence from an interview does more than a paragraph of description. Don't invent quotes.

  • Keep it to one page

    If a persona needs scrolling, nobody will read it in a meeting. Put the detailed research in a linked doc.

  • Treat AI personas as hypotheses

    Generating a persona from a description is a good starting point for interviews. It doesn't replace them.
